How to Guide - Agent/Clinician

Create a Waiting room consultation

Head to the Waiting room tab. A Waiting room or rooms will have been assigned to you during your platform account set up.

  • Select the Waiting room from which you want to have your video consultation, in this example 'Weight Loss Virtual Clinic'. When highlighted a red border displays indicating it is selected.
  • Select the invite icon, represented by an open envelope again displayed red when selected. A send an invite field will be displayed.

From here you have the option to send an invite via SMS and/or email message or by copying the waiting room link into your own communications. You may add a customised message ie., the date and time of appointment plus any preparatory notes as required.

Your Service user will receive your invite via the route chosen and can click on the url link to join the waiting room immediately. They are guided through simple pre-entry steps and arrive into the waiting room ready for their consultation.

Join a Waiting room consultation

Head to the Waiting room tab. A Waiting room will have been assigned to you as part of your platform account set up. Select the Waiting room tile and if someone is waiting a pop field will display to the right showing 'People in this room'. If there is no one waiting to be seen, this will be indicated. The current status of the Service user is shown within the Waiting room tile. If your Service user is waiting to be seen, this will display as Waiting.

The notification feature will confirm when your Service user has entered your Waiting area. A pop up notification will display briefly on screen and then sit within your notifications, represented by a red bell in the banner along the top of the page, along with the number of notifications waiting to be read. To clear your notifications first 'mark all as read' then select 'clear all read'.

When you are ready to join your consultation, view 'People in this room', check the box alongside the name of your Service user and select the handset icon to the bottom right hand side of this field. To view the Service users details, before joining, select the view icon represented by an eye. A one way message may also be sent, by selecting the '+' icon. See 'How to Guide Scheduler' for more on this feature.

Selecting the handset icon, instigates the start of the consultation.

SQOD tracks the status of the consultation at any given time, to allow peers or administrators assigned to the same waiting area, a view on progress. The Service user status can change from ‘Waiting’ to ‘Being Seen’ . Should the Service user arrive after the start time, their status will change to ‘Late’.

Leave a Waiting room consultation

When you are ready to leave the consultation, simply select the 'Leave' icon at the bottom right hand side of the call screen and choose 'End Meeting for all'. A prompt will appear asking if you are sure you want to end meeting for all. Choosing 'End meeting' will close the consultation.

End.
