How to Guide - Scheduled Appointments
Edit an already Scheduled appointment
Head to the Schedule tab. If the appointment is not today, select the date from the top right. From the scheduled appointments list, click the pencil (edit) icon on the relevant row.

Amend the appointment or caller/patient details as needed, then click 'Update call'.

An updated invite will be sent to the caller/patient by email and/or SMS.
Schedule an appointment in the future
Head to the Schedule tab and select 'Schedule a New Consultation'.

A short form will then appear, enter the following details:
• Call date, time, duration, and interpreter/language requirements.
• If a post call re-direct is required, you can enter the direct link here.
• Caller/patient details: full name, contact telephone number, email address, and date of birth
• Enable/disable any additional features required.
Select Create. The consultation is scheduled, and the caller/patient receives an email and/or SMS with the appointment URL.
To view future appointments, ensure you've selected the correct date from the date field.
Send a reminder message to the caller / patient
Navigate to your scheduled consultations list and select the paper plane icon for the relevant appointment. A 'Send an Invite' field will appear on the right, here you can include a reminder of the date, time, and any preparation notes.

Send by SMS or email. This can be used as many times as needed in the lead-up to an appointment. The template content can be customised by a customer administrator.
Join a Scheduled consultation
Head to the Schedule tab and locate the appointment (labelled 'Scheduled'). Select the grey handset icon; when hovered over, it displays the word 'Start'.

If this is your first consultation of the day, you'll be offered the 'Test Your Equipment' feature. For subsequent consultations, you can choose to test or skip.
Cancel a Scheduled consultation
Head to the Schedule tab and locate the appointment. Select the 'bin' icon. A cancellation panel will appear showing the call details and a free-text box for an optional cancellation message. Select 'Cancel Call'.


The caller/patient will receive an email and/or SMS confirming the cancellation and the status will be updated within your dashboard.

Join a Scheduled consultation with a colleague
Head to the Schedule tab and check that the appointment is in progress; it will show a 'Being Seen' status. Select the handset icon and confirm by selecting 'Join Meeting'. You'll then enter the live consultation.
Message a caller/patient waiting for a Scheduled consultation
The platform offers one-way messaging to notify a caller/patient before the call begins - useful if you're running late, for example. (this option is only available once the caller/patient has joined their link)
In the Schedule tab, find the appointment. If the caller/patient has clicked their invite and is waiting, 'Waiting' will be displayed.


Select the text box, type your message, and click the pink paper plane icon to send. Note: the caller/patient cannot reply while waiting. Two-way messaging is available during a live call.
Leave a Scheduled consultation
Select the Leave icon at the bottom-right of the call screen and choose 'End Meeting for all'. Confirm when prompted to close the consultation.
