Setting up Multi-Factor Authentication (MFA)
When logging in to the platform for the first time you’ll be asked to set up your MFA via email, SMS or authenticator app. This only needs to be completed once, after set-up only your password and authentication code are required.
Please also be advised that your Administrator may have pre-selected the method required for MFA.
You will need:
- Access to your email address
- Access to your mobile phone (if using SMS or app)
- Your welcome email
If you need to update your authenticator method after set-up (i.e. you have received a new phone or email), please contact your administrators.
SMS
- Open your welcome email, click the link to create your account and re-set your password.
- Select SMS as your chosen verification method.
- When prompted, enter your mobile number.
- Verify your mobile number by entering the 6 digit code received via SMS.
- Click 'continue' to log in to the platform.
- Open your welcome email, click the link to create your account and re-set your password.
- Select email as your chosen verification method.
- When prompted, enter your email address.
- Verify your email address by entering the 6 digit code received via email (check junk and spam folders if this has not arrived).
- Click 'continue' to log in to the platform.
Authenticator App
The authenticator apps listed below have been tested and confirmed to work with the platform. If your organisation uses a different authenticator app, please refer to your internal process for adding your login.
Microsoft Authenticator Application
Microsoft Authenticator is available from both the Apple App Store and Google Play Store.
- Open the app - You’ll be asked to accept privacy policies, then to secure your account. Choose an email account to connect, this can be a personal Microsoft account or a work one.
- Start setup in the app - You’ll see options to add an account. Select the plus (“+”) icon (usually top right).
- Choose “Other” account type - This lets you either scan a QR code or manually enter a code provided by the platform.
- Scan QR or enter code - Use the app to scan the QR code shown on screen (on the login portal), or type in the code.
- Retrieve passcode from the app - After adding, Microsoft Authenticator will generate a passcode. Each code lasts 30-60 seconds.
- Enter the passcode into the platform - Return to the login portal and input the generated passcode. Once validated, you’ll be signed in and MFA setup is complete.

Google Authenticator
Google Authenticator is also available in both the Apple App Store and Google Play Store.
- Install and open the app.
- Skip or connect to a Google account - Connecting gives backups; skipping means codes are only stored locally.
- Add an account - Tap the plus (“+”) icon (usually bottom right).
- Scan QR code or enter code manually - Use the app to scan the QR code shown on the login portal.
- Retrieve the code - There will be a new code every 30-60 seconds.
- Enter the passcode on the platform - Input the code to complete setup.

Okta Verify
- Install and open Okta Verify.
- Begin setup - You may see options like “Get Started” or “Add accounts from another device.” Choose “Get Started.”
- Select type of account - Whether “Organisation” or “Other,” choose as appropriate.
- Skip device-transfer prompt if asked (unless you’re migrating from another device).
- Scan QR code - When the prompt comes up (“Yes, ready to scan” or similar), allow camera access and scan the QR code shown in the portal.
- Retrieve code from the app.
- Enter code in the platform to complete the MFA setup.
